Scanning Passports with Passport Readers

During the hiring process, many places of employment request copies of the new employee’s passport as one form of ID. The other forms of ID that are often requested are a driver’s license or a social security card. Employers usually request a passport copy because it’s one of the toughest forms of ID to forge, especially with the new embedded version. Copies of all the ID’s are then placed in the employee’s personnel file. With time, however, copies can get lost or torn. Or maybe the secretary forgot to place the copy of the passport in the file. With a Passport reader, these problems would never occur.

A passport reader can scan an employee’s passport or ID and save the information in an accessible database file, web browser, or email. It also takes a snapshot of the passport and provides you a copy that can be saved to a file. No more messy photocopies of passports with illegible print. Imagine creating a quick, accessible format for retrieving your employees’ passport ID information. Instead of wasting time photocopying a passport and attaching it to a file, you can take the new employee’s passport; scan it with a passport reader, and save the data to a database. You can now have access to the records simply by opening up the file and searching for the employee’s name. It would take only a minute or so to retrieve the information. No need to frantically search the employee’s hard copy records anymore.

A passport reader also improves accuracy the human error factor is removed from the equation. With so many employee records to collate, you can easily misfile passport copies, or forget to file the copy completely. What happens if you’re working for a state agency and the state officials happen to walk in for a surprise audit? They might request passport and driver’s license information on all employees. You check your employee records, but unfortunately you’re missing passport copies for four employees. This scenario would not occur with a passport reader - you would have immediate access to all passport data on your employee ID database.

Make life easier for yourself and use a passport reader. It will certainly streamline your record keeping system and improve overall efficiency.
